Privacy Policy

1. Two Kinds of Data

We treat two categories of information differently, and it's worth being upfront about the distinction:

Your content— the voice recordings, transcripts, question text, and project details a Ghostwriter or Client creates — belongs to the Client, as described in our Terms of Service. We store and process it to provide the Service; we don't use it for anything else without permission.

Usage and account data— information about how the Service is used (such as which features are active, session and login activity, device and browser information, and error logs) — is collected and used by us to operate, secure, and improve Interviewz. This is separate from your content, and collecting it doesn't change who owns your recordings or transcripts.

2. Information We Collect

• Account information: a Ghostwriter's name, email address, and team/company name, used for sign-in and account communication.
• Team information: if a Ghostwriter invites teammates, we collect the email address of each person invited in order to send the invitation and manage team membership.
• Project information: client name and (if provided) client email, question text, and project settings a Ghostwriter enters.
• Content: audio recordings and the transcripts generated from them.
• Payment information: subscription and billing details are handled directly by Stripe; we do not store your full card number.
• Usage and technical data: log data, device and browser information, IP address, and how you interact with the Service. We may use analytics tools to understand usage patterns in aggregate and improve the product over time.

3. How We Use Information

• To operate the Service — hosting, authentication, recording, and transcription;
• To process payments and manage subscriptions;
• To send account, billing, and content-notification emails (e.g. a Client is notified when a new question is added);
• To understand how the Service is used and to improve it;
• To maintain security, prevent abuse, and comply with legal obligations.

4. Third-Party Service Providers

We rely on the following providers to operate the Service. Each processes a subset of the data described above on our behalf:

• Supabase — database, authentication, and file storage for recordings.
• OpenAI — transcription of audio recordings.
• Stripe — subscription billing and payment processing.
• Resend — transactional email delivery.
• Sentry — error monitoring, to help us detect and fix bugs. Error reports may incidentally include technical context such as request data.
• Upstash — rate limiting and abuse prevention; processes IP addresses for this purpose.
• Vercel — application hosting.

We don't sell personal information, and we don't share your content with third parties beyond what's needed to provide the Service (for example, sending a recording to OpenAI to generate its transcript).

5. Data Retention

We retain account and project data for as long as the account or project is active. A Client may request deletion of their own recordings and transcripts at any time via their project link. A Ghostwriter may request deletion of their account and associated project data by contacting us.

6. Your Rights

Depending on where you live, you may have rights to access, correct, export, or delete your personal information, and to object to certain processing. Clients can exercise access, export, and deletion rights directly through their project link without needing to create an account. Ghostwriters can exercise these rights by contacting us. Residents of the EU/EEA, UK, and California have specific statutory rights under GDPR, UK GDPR, and the CCPA respectively; contact us to make a request under any of these frameworks.

7. Security

We use reasonable technical and organizational measures to protect your information, including encryption in transit and access-controlled storage. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Children's Privacy

The Service is not directed to children under 16, and we do not knowingly collect personal information from them.

9. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we'll provide reasonable notice, such as by email or a notice on the Service.
